Pay Range: $22- $26 Hourly

Travel: Travel is NOT required

JOB DESCRIPTION 

The Program Compliance Specialist is responsible for reviewing and reconciling job files, ensuring they are ready for job closure. This vital role involves working with multiple departments to ensure all necessary documents, and reports are included in files before being sent to the Program Coordinator for closure. This includes reviewing for compliance with all program reporting standards. 

 

JOB RESPONSIBILITIES: 

  • Ensuring client files are prepared for final reporting, checking for required documents and communication records; ensuring it meets internal standards and regulatory requirements. 
  • Reconciling client files prior to reporting, verifying that inputs match job actuals. 
  • Act as a liaison with relevant team members to ensure accuracy and timeliness of data entry. 
  • Track and proactively communicate HVAC/ Plumbing permitting/ inspection schedule.  
  • Review and verify all POs and invoices ensuring they are entered and correct. 
  • Work with Field Schedule Coordinator to support with scheduling 
  • Work closely with the weatherization team, including energy auditors, technicians, and administrative staff and provide support to team members as needed. 
  • Stay informed and up to date on CEO and other weatherization program policies. 
  • Maintain working knowledge of federal, state, and local regulations. 
  • Other duties as required. 

 

MINIMUM QUALIFICATIONS / EXPERIENCECandidates must pass a pre-employment drug screening. Candidates will be subject to a criminal background check and motor vehicle report. (See job-specific qualifications below): 

  • Ability to interact effectively with all team members in all departments, stakeholders, clients, and prepare reports or presentations. 
  • Strong organizational skills with attention to detail. 
  • Excellent communication and interpersonal skills. 
  • Ability to work independently and collaboratively in a team environment. 
  • Proficiency in Microsoft Office Suite and data management software. 
  • Valid driver’s license and reliable transportation. 

 

PREFERRED SKILLS: (Licensing/Certification) 

  • Bachelor’s degree in, public administration, human services, or related field preferred. 
  • Knowledge of federal and state regulations related to weatherization assistance programs. 
  • Experience working with energy efficiency programs, weatherization, or related fields. 
  • Ability to plan, organize, and oversee multiple tasks simultaneously, ensuring deadlines, and goals are met efficiently.  

 

REPORTS TO: Program Coordinator  

SUPERVISORY RESPONSIBILITY: No supervisory responsibility 

TRAVEL: Travel NOT required. 

 

WORKING CONDITIONS / PHYSICAL REQUIREMENTSWhile the role of Program Compliance Specialist primarily focuses on mental and data driven tasks, there are some physical requirements that may be relevant. These requirements are generally more about comfort, efficiency, and ergonomics while working, rather than intense physical exertion:  

 

  • Good Vision: To read and review financial documents, reports, and spreadsheets. 
  • Manual Dexterity: To use a computer keyboard, mouse, and other office equipment effectively. 
  • Sitting for Long Periods: Accountants often work at desks or on computers for extended periods. 
  • Attention to Detail: Although this is a mental requirement, it often correlates with good focus and physical stamina. 
  • Occasional Lifting: Lifting boxes or files, especially in larger offices or when handling paper records.
